Gowrie NSW is a leader in providing high-quality early learning and care, with over 80 years of experience in early childhood education.
Managing a growing network of long day care centres, preschools, and Outside School Hours Care (OSHC) services across the state, Gowrie NSW needed a reliable, data-driven platform to support its expanding operations, quickly determining that all in one childcare management platform Xap was best positioned to respond.
Xap has evolved significantly over the past two years, adopting class leading technology and practices to have a stable and reliable service to enterprise providers – something which was an essential for the broad reaching Gowrie NSW teams.
With such a vast network, reliability was a must, with the Gowrie team noting that performance issues with Xap are rare and when they do happen, they are attended to quickly and professionally.
“Xap’s system has stabilised significantly over the last 12 months,” Gowrie NSW’s Business Improvement Manager Andrew Te shared.
“We’ve also seen constant and reliable system uptime, which is great! This is a great improvement where we know Xap has invested strongly in these areas”
On demand access to data drives informed decision making
Having on-demand access to accurate data has allowed Gowrie NSW to make informed, strategic decisions about occupancy, marketing, and service expansion. The reports available within Xap help the provider not only to understand occupancy trends and assess the effectiveness of marketing strategies but also determine the demographics of its families.
“Most of the stability comes from the reporting module. The system’s reporting module is consistently up and running at all times of the day (and night), which makes life so much easier when we have pressing reports to deliver,” Mr Te said.
Around 12 months ago Xap introduced the Analytics platform, revolutionising how the rich data available from services and within Xap can be used, making space for data driven decision making at levels previously not available.
With this level of insight, the Gowrie NSW team can make well-informed decisions at both the centre level and from a broader strategic perspective, ensuring its services align with the needs of their communities.
Having easy access to detailed data has also transformed how they report to senior management and the Board. With clear, real-time insights readily available, transparency has significantly improved, making performance tracking simpler than ever before.
A responsive provider dedicated to meeting customer needs
“It’s crucial that Xap meets the needs of all our users, regardless of the size of their service, or where they are located,” Xap CEO Sean Murphy said.
“We are always open to refinement based on the feedback we receive, and the team that we’ve built within Xap is a critical element in making that happen.”
A dedicated account management team is the key point of liaison between Xap and its users, providing an authentic, honest and caring approach which Xap customers say is rare in the market.
“We have a great relationship with Xap,” Mr Te said.
“They make themselves available to chat, but more importantly, from a business perspective, they understand that we want issues to be resolved quickly. This has obviously evolved over time, and I would say the quality of service from the Xap support team, as well as the accounts team, is high,” he added.
A system built for families too
Families, too, value the power the Xap platform delivers through the dedicated family app which allows for an enhanced family experience.
Through the app families are able to make casual bookings quickly and easily – something which is especially valuable for OSHC and vacation care bookings, not only supporting families but also freeing up educators from the considerable time taken to manage this space.
The app also streamlines communication between the service and the family, giving educators and leaders the option to send emails directly to families, whether for a specific room, a particular day, or an entire centre. This flexibility has made engaging with families easier and more efficient.
Ease of use
In a market crowded by options Xap stood out for Gowrie NSW because of its ease of use, Mr Te said.
With a large and growing team, having a system that offers the features a childcare centre needs while remaining user-friendly has made a significant difference. The ability for leaders to quickly onboard new staff, access detailed insights effortlessly, and streamline daily tasks has allowed teams to focus more on delivering quality services rather than dealing with system inefficiencies.
“Our new team members all mention that Xap is easy to use compared to other systems they’ve used before. It’s well laid out and doesn’t require much training to get up to speed. We particularly like the fact that you can drill down from any screen to see further details.”
For an organisation as large and dynamic as Gowrie NSW, having a system that scales with them is critical. What started as a journey to improve system stability and reporting has now become a partnership focused on efficiency, strategic growth, and better experiences for families and educators.
Gowrie NSW is confident that they have the right technology partner to support them now and into the future, with Xap’s ongoing innovation and customer-first approach.
